Fujifilm’s challenge
Fujifilm has a global Google Workspace environment which has its centre in Tokyo and is subdivided into three autonomous geographic regions. The European division is managed by an external organisation that provides first, second and third line technical support for the Google environment.
All geographic regions have engineers with super admin accounts who provide second and third line support. Engineers providing first line support do not have super admin capabilities in order to prevent inadvertent mistakes being made. However, these restricted capabilities are insufficient for the first line engineers to be able to perform all required support activities and a custom built administration tool was identified as the solution to this problem.
The solution
G-workplace developed the Google Workspace Administration app for Fujifilm. This app enables first line support to impersonate a super admin account in order to carry out a specified range of tasks within a simple and secure environment. This is done without the need for programming, updating advanced administration settings or accessing sensitive user information. Any changes which are made via the app are logged and can subsequently be traced back to the relevant support engineer.
Results
The following tasks can now be performed by first line support using the Google Workspace Administration app:
-
- Update out of office settings without accessing the user account;
-
- Change user’s OU;
-
- Suspend a user account;
-
- Add and delete mailbox delegates without accessing an account;
-
- Changing the timezone for a user;
-
- Add and delete calendar owners, readers and writers;
-
- Create new google groups;
-
- Modify group details;
-
- Add and delete group members.
